Who we are
Project Partner London Limited is responsible for the personal information we use to handle business enquiries and provide our services. This notice explains how information is handled when you visit this website or contact us about a project.
For privacy questions or requests, email office@projectpartnerlondon.co.uk or telephone 07511 087446.
Information we receive
If you email or telephone us, we receive the information you choose to provide. This may include your name, contact details, project address and information about the proposed works. If an architect or another representative contacts us on your behalf, we may receive relevant project and contact information from them.
The website has no online enquiry form or customer account. Its email and telephone links open your own email or telephone service; the website does not submit or store an enquiry on your behalf.
Please provide enough information for us to understand your enquiry. Avoid sending identity documents, payment-card details or sensitive personal information in an initial enquiry. You do not have to contact us or provide project information simply to browse the website. If you ask for a response or quotation, we need sufficient information to deal with that request.
When you browse the website, our hosting provider may process technical information such as your IP address, browser information, pages requested, request times and security-related logs. This is used to deliver the website and support its security and operation.
How and why information is used
We use enquiry information to respond, understand your requirements, prepare quotations and discuss or carry out agreed works. Where you ask for a quotation or services, the lawful basis is taking steps at your request before entering into a contract, or performing that contract once agreed.
For general business communications and website security, we rely on our legitimate interests in responding to relevant enquiries, operating our business and maintaining a reliable, secure website. We consider those interests alongside your rights and reasonable expectations. Where particular records must be kept or disclosed by law, we rely on the relevant legal obligation.
Making an enquiry does not subscribe you to a marketing mailing list. The website does not use automated decision-making or profiling to make decisions that have legal or similarly significant effects on you.
Hosting, email and sharing information
The website is hosted on Cloudflare Pages. Our business email is provided through Microsoft 365 Exchange Online. Emails sent to our business address are handled through that email service, not through a website form or an enquiry database on the website.
Access to enquiry information is limited to people who need it to respond or provide the agreed services. Where necessary for a proposed or agreed project, relevant information may be shared with architects, specialist consultants or subcontractors involved in that project. Information may also be provided to professional advisers or public authorities where necessary to meet legal obligations or establish, exercise or defend legal claims. We do not sell your personal information.
Cloudflare and Microsoft process information as part of supplying their services. Cloudflare also handles some technical network information for its own security and operational purposes, as explained in its Privacy Policy.
International processing
Our service providers operate internationally. Some information may be processed outside the United Kingdom, including in the United States. Applicable protections include UK-recognised adequacy arrangements or contractual safeguards, as appropriate to the provider and transfer.
Cloudflare’s Data Processing Addendum includes standard contractual clauses and the UK Addendum for applicable restricted transfers. Microsoft describes its contractual protections in its Products and Services Data Protection Addendum. You can use these links, or contact us, to obtain further information about the relevant safeguards.
How long information is kept
We keep personal information only for as long as there is a relevant business or legal reason to retain it.
For enquiries, we consider whether the enquiry is still active, the time since our last communication, whether a quotation or project remains under discussion, and whether the information is needed to address a complaint or potential legal claim. We review closed enquiries and remove information when it is no longer needed for those purposes.
If an enquiry leads to agreed works, relevant records may be retained for the duration of the project and afterwards where needed for contractual commitments, warranties, legal claims or applicable record-keeping obligations. The appropriate retention period depends on the type of record and the reason for keeping it.
Technical information handled by our service providers is subject to their applicable service, security and retention arrangements. We do not maintain a separate website enquiry database. Please contact us if you would like more information about the retention of a particular record.
Your rights
Depending on the circumstances and the lawful basis used, you may have rights to access your personal information, have inaccurate information corrected, request deletion, restrict its use or receive certain information in a portable format. These rights are not absolute and legal exceptions may apply.
Your right to object: where we rely on legitimate interests, you may object to the use of your information on grounds relating to your particular situation.
To make a request, contact office@projectpartnerlondon.co.uk. We may need to confirm your identity before responding.
You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. You may contact us first if you would like us to try to resolve your concern, but you do not have to do so before contacting the ICO.
Cookies and similar technologies
We do not add advertising pixels, marketing trackers or website analytics. Fonts and photographs are served with the website rather than loaded from an external font or photo service. There are no embedded contact forms or social-media feeds.
Cloudflare may use security cookies or similar technologies where needed to deliver and protect its services. These are separate from advertising or marketing cookies. Details of the technologies used by its different services are available in Cloudflare’s cookie information. Not every cookie listed there is necessarily used on this website.
You can manage cookies through your browser settings. Blocking a necessary security cookie may affect access to a protected page. If we introduce optional technologies that require consent, we will provide appropriate choices before they are used and update this notice.
Changes to this notice
We will update this notice if our website or information-handling practices change. The date above shows when this version was last updated. Privacy enquiries can be sent to office@projectpartnerlondon.co.uk.
